What we collect
From the parent/guardian account:
- Name, email address, and phone number
- Login credentials (your password is encrypted — we never see or store it in plain text)
About your child:
- Name, age, and school
- Emergency contact information
- Which program(s) they're registered for
Payment information:
We do not store your credit card details. Payments are processed securely by Stripe, a third-party payment processor. Vivora only receives confirmation that a payment succeeded and the amount paid.
Automatically collected:
Basic technical data (like browser type) that helps us keep the site working properly.
Why we collect it
We use this information only to:
- Create and manage your parent account
- Register your child for the programs you sign them up for
- Contact you about schedule changes, pickup times, or anything related to a session
- Reach the right person in an emergency
- Process and confirm term payments
- Track attendance for the programs your child is enrolled in
We do not use your or your child's information for advertising, and we do not sell it to anyone.
Who can see this information
- You can see your own account and your own children's information through your parent dashboard.
- Vivora staff/coaches can see registration and attendance details needed to run the programs your child is enrolled in.
- Stripe processes payment transactions on our behalf and has its own privacy practices.
- We do not share your or your child's information with any other third party, except where required by law.
How it's protected
- Access to family data is restricted so that one parent's account can never see another family's information.
- Payment status can only be updated through our secure payment processor — not manually by any user.
- Data is stored with Supabase, which encrypts data in transit and at rest.
Your rights
You can:
- Ask us what information we have on file for you or your child
- Correct inaccurate information through your dashboard, or by contacting us
- Ask us to delete your account and associated data, subject to any records we're required to keep (e.g., payment records for tax purposes)
How long we keep information
We keep account and registration information for as long as your account is active, and for a reasonable period after (generally up to one year) in case you re-register the following term. Payment records may be kept longer to meet legal and tax obligations.
Children's information
Our programs are for kids and youth, but accounts are created and managed by a parent or legal guardian — kids do not create their own accounts or provide information directly to us.
Changes to this policy
If this policy changes, we'll update the date at the top of this page. Significant changes will be communicated to registered parents by email.
